How to use it effectively
Before the meeting
- Prepare a clear agenda in advance and keep it realistic for the time available.
- Make sure the meeting lead or chair knows the agenda well and is ready to guide each item properly.
- Circulate any relevant papers or updates in time for attendees to prepare.
- Agree who is taking the minutes and make sure they can clearly capture actions, owners and timeframes for each agenda item.
During the meeting
- Record key points of discussion without trying to write everything that is said.
- Be especially clear when a decision is made, a point is deferred, or further work is required.
- Capture actions as they happen, including who owns them and when they are due.
- Where helpful, check wording or ownership out loud before moving on to the next item.
After the meeting
- Review and tidy the minutes promptly.
- Make sure actions are easy to identify and can be lifted out quickly if needed.
- Issue the minutes or action points within an appropriate timeframe.
- Use the previous action log when preparing the agenda for the next meeting
